The Office Hero: We’re searching for a Business Manager who is equal parts organizer, problem-solver, and office superhero. If you thrive in environments where every day brings a new puzzle…accounts payable one minute, AV troubleshooting the next, then you might be our person. You will be the friendly face of the office, the calming voice on the phone, the “sage” of Sage Intacct, the champion of clean conference rooms and the reason Monday lunch doesn’t turn into a scavenger hunt. Bonus points if you’ve ever orchestrated an office relocation or move without losing your cool (or the coffee maker)!
What You’ll Do:
Office Management
Oversee the daily operations of the office, ensuring a functional and efficient work environment
Manage the front office (greet visitors, sign for deliveries, distribute mail, etc.)
Handle incoming calls to the primary phone line
Procure and manage all office and kitchen supplies
Manage office catering
Serve as the point of contact to resolve building maintenance issues and office equipment issues
Maintain conference room audio and video equipment and serve as the SME, providing support for meetings and guests
IT
Serve as the liaison to the outsourced IT provider
Maintain asset inventory
Maintain software license subscriptions
Coordinate IT tasks related to onboarding and offboarding
Accounting
Manage accounts payable/receivable and job cost accounting
Provide oversight into company credit card usage
Process vendor payments, including verification of lien release
Support monthly close activities
Human Resources
Process bi-weekly payroll using the HRIS system
Support the annual benefits enrollment process
Support onboarding and offboarding of employees
Maintain and update personnel policies and employee handbook
Data entry support
Support recruiting efforts (candidate communications, interview scheduling, etc.)
You’re a Great Fit if You Have:
3-5 years of experience working in the engineering/construction industry
Associate’s or bachelor’s degree in business management/accounting or equivalent
2 years of experience with job cost accounting
Familiar with basic IT hardware, software, and logistics of working with outsourced IT
Familiar with Sage, Procore, Excel and Docusign
Strong written and verbal communication skills
